Description and Duties    

Upper Canada College is hiring an Archival Assistant who will support the arrangement and description of the Barbara Barrow fonds over a three-month period. Barbara Barrow (1908-1994) was UCC's school nurse for over fifty years. Her personal records were donated to the College after her passing; these records include photographs of students and school events, Christmas cards, address books, diaries, news clippings, articles about UCC and various pieces of memorabilia. She also kept a sizable collection of correspondences, including letters from former students serving in the Second World War.

In collaboration with the College Archivist, the Archival Assistant will assist in arranging and describing the various records that comprise this collection in accordance with the Canadian Rules for Archival Description. These descriptions will be rendered digitally accessible using the open-source application Access to Memory (AToM). Additionally, the Archival Assistant will support the digitization of select items from the Barbara Barrow fonds as needed.

This is a twelve-week contract position. A successful applicant will primarily be required to work in-person at Upper Canada College in Toronto, Monday through Thursday, during the summer months. Applicants must be current students returning to full-time study in the 2025/2026 academic year.

Qualifications:

  • Current student in a masters' program in archives and records management, library and information studies, museum studies; alternatively, current student in an undergraduate program in history or a related discipline with commensurate professional experience in archives, libraries, or museums. Applicants must be returning to full-time study in the 2025/2026 academic year.
  • Applicants must be between the ages of 16 and 30
  • Experience in archival processing, specifically arrangement and description, an asset;
  • Familiarity with the sociopolitical implications of archival practice, especially as they relate to the arrangement and description of records as an asset;
  • Familiarity with Google Suite an asset;
  • Familiarity with Access to Memory (AToM) description application, as well as the Canadian Council of Archives' Rules for Archival Description (RAD) an asset;
  • Strong organizational and time management skills;
  • Strong attention to detail.
