Compensation: $25/hr

May 5, 2025-August 29, 2025 (16 weeks)
35 hours per week (Monday-Friday) at $25/hour

The Association of Canadian Archivists (archivists.ca) is pleased to offer a Summer Office Assistant position through the Young Canada Works program. Founded in 1975,the Association of Canadian Archivists (ACA) is a non-profit organization that represents the needs and interests of archives and records professionals throughout Canada. It provides members with opportunities to network with archives and records professionals across the country, develop professional skills and expertise, and participate in national and international advocacy initiatives. The ACA is governed by its members and supported by two full-time staff, with offices located in Ottawa, Ontario.

Under the supervision of the Executive Director and the Membership Services Coordinator, the Summer Office Assistant will assist with a variety of records management and other administrative tasks.

Specific tasks include:

  • Provide support to the Records Management Working Group and assist them in developing a records retention schedule for ACA records;
  • Review and inventory ACA operational records in preparation for transfer to Library and Archives Canada;
  • Scan, index and upload historic publications to the ACA website;
  • Assist with managing and adding content to the ACA website;
  • Assist in the planning and running of the annual ACA Conference to be held in Ottawa;
  • Provide administrative support to the Board and Committees as required;
  • Other duties as assigned.


We are looking for a student between 16 and 30 years of age with a keen interest in archives and a desire to learn. The ideal candidate will have some training or experience with archives, libraries, records, or information management. We are also looking for someone who has good attention to detail, time management skills, is able to follow instructions and work collaboratively in a team environment. You must also be comfortable with technology, particularly the Microsoft Office suite of tools and scanning software, and be able to navigate online search engines. Experience with Wild Apricot membership management systems is an asset but not required. This job may involve lifting boxes up to 40 lbs but will be waived if the candidate is not physically able to lift.

This position is offered through the Young Canada Works in Heritage program (https://www.canada.ca/en/canadian-heritage/services/funding/young-canada-works/students-graduates/heritage-organizations-students.html) which requires that applicants meet the following criteria:

  • be a Canadian citizen or a permanent resident, or have refugee status in Canada. (Non-Canadian students holding temporary work visas or awaiting permanent resident status are not eligible.)
  • be legally entitled to work in Canada (have a valid social insurance number);
  • be between 16 and 30 years of age inclusively at the start of employment;
  • be a high school, college, CEGEP or university student; and
  • be registered in the YCW online candidate inventory.
