President's Message

Well, here we are once again knocking at April’s door. And to mark the solemnity of this new beginning, I present you with the gift of a really bad joke:

Why was everyone so tired on April 1? …..Wait for it….. Because they just finished a long 31-day March!! Ba-dum-cha! <insert groan here>

I know, I know, I’ll keep my day job! On to this month’s update.

Ancestry’s “Lunch and Learn”

Thank you to all who attended Ancestry’s “Lunch and Learn” event on March 29. This well-attended talk featured Ancestry’s innovative Handwriting Technology, which was developed specifically to transcribe censuses. With the release of Canada's 1931 census this month, this technology will be used to make this documentation publicly available in a fraction of the time required through manual transcriptions.

Upcoming Priorities & Planning Meetings

The Board is hosting its Spring Priority & Planning, or P&P, meetings on April 21 & 22. For those who may not know, this bi-annual working meeting provides the Board and the ACA’s standing committees and working groups with the opportunity to come together to assess and re-prioritize annual workplans, brainstorm new initiatives, and address any challenges that may have arisen. If you have any creative ideas or initiatives you would like considered, please reach out to myself, the Board, or the relevant Committee or working group chair – we would love to hear from you!

The Queen Elizabeth II Platinum Jubilee Medal (QPJM) recognizes outstanding individuals of all ages and from all walks of life who have built and continue to build a strong, vibrant society and province through their service, contributions, and achievements.

Both Donald and Jeremy have made tremendous contributions, over many years, not only to the Provincial Archives of Saskatchewan but to many other archival communities – Donald at the provincial and national levels (including the SCCA's Response to the Report of the Truth and Reconciliation Commission Taskforce) and Jeremy to the Saskatchewan Council of Archives and Archivists, while most of us know of Shelley’s incredible work both at the University of Manitoba Archives and in championing the preservation of Manitoba’s history and her indefatigable promotion of her provinces cultural fabric and diversity.

Farewell

For those who may not have heard via Arcan-l, Christina Nichols, Executive Director of the CCA, will be leaving the Council effective April 28 to pursue a new opportunity. Please join me in thanking Chriss for her 20 amazing years of service to the CCA and, by extension through our incredible Canadian archival system, to the ACA. Her warm collegiality, wise insight, and unyielding support has been so appreciated by so many, and she will indeed be missed. We wish you well, Chriss!

Update: Canadian Museum Policy Renewal Process

1) Survey Release: For the last couple of months, I’ve been providing updates to you on this process. The latest development is the release of a Museum Policy Public Survey. As it states in the survey introduction:

This short survey is an initiative of the Department of Canadian Heritage and aims to capture Canadians’ views and expectations on current and emerging priorities of the heritage sector, which includes museums, art galleries, cultural centres, archives, historic sites, science centres, zoos and botanical gardens. Responses from the survey will be used by the Department to inform the modernization of Canada’s national museum policy. The survey will take about 15 minutes of your time.

2) Discussion Guide Questions: As mentioned in previous newsletters and Arcan-l posts, the Department has also provided 5 distinct themes within a Discussion Guide. Under each of these themes is a series of questions, and according to their website, the Department is “…interested in your views and welcome(s) detailed responses regarding the questions set out in this discussion guide.” Therefore, it is imperative that each of us takes time to read this Discussion Guide and formulate and send our responses, ideas, and suggestions to the Department as soon as possible. Their email is politiquemuseale-museumpolicy@pch.gc.ca.

Your Input Matters

As archivists, archival practitioners, and recordkeepers, we need to state and restate, en masse, our shared concerns to this Department and to actively demonstrate our community’s requirement for change to a policy and federal funding framework that has never fully supported our professional obligations. So, no matter what stage you are at in your career, please share your input now both through the discussion guide questions and through the survey so together we can lobby for the policy changes we so desperately need!

As always, if you have any suggestions on directions you would like to see the ACA go or initiatives you would like the ACA to undertake, please don’t hesitate to reach out! Your Board is here for you, our members.

Call for Nominations - Board of Directors

The Nominations and Awards Committee is seeking nominations for the following ACA Director (Board) positions that are up for election: 

  • Vice President (2-year term)
  • Secretary (2-year term)
  • Director-at-Large (2-year term) 

The term of office for these positions is two years and will begin the first week of July following the AGM, which takes place on June 14, 2023 1:00 pm ET / 10:00 am PT on Zoom. You may RSVP here: ACA Annual General Meeting - 2023.

The slate of candidates will be presented to the Board once nominations have closed, April 19, 2023. Online voting will open June 1, 2023 following the Members Input Session. You may RSVP here: Members Input Session.

All members in good standing will receive an online ballot via email. Institutional members should ensure that their designated delegate is clearly identified and up to date in their membership profile. If you need support entering your delegate name or updating your form, please reach out to the ACA Office.

Directors must be individual members in good standing. Institutional members may have their designated delegate nominated for the Director-at-Large position. Nominations must be supported by five (5) ACA members. Those nominated must also provide a brief biography that will be made available to ACA members in advance of the online voting period, will be posted on the ACA website, and will be available on the electronic ballot.

Member News

2023 Mentorship Program   

The mentorship program for 2023 is underway, and this year we have 20 mentors and 25 mentees across the country.   

Last year, we had similar numbers with 22 mentors and 24 mentees. The Membership Committee would like to thank all the mentors for their time, and we hope the mentees enjoyed the experience!

There will be a virtual meet-up via Zoom for this year's cohort of mentors and mentees, May 30, 2023, 7:30 pm ET / 4:30 pm PT. If you are part of the cohort, please RSVP below.

Librarian and Archivist of Canada 

Congratulations to Leslie Weir on her reappointment as Librarian and Archivist of Canada for a four-year term, effective August 30, 2023. Since her first appointment in August 2019, Leslie Weir has led Library and Archives Canada through a series of exceptional challenges and major initiatives. In addition to guiding the institution through the COVID-19 pandemic, she oversaw the development of the library's Vision 2030 strategic plan and the launch of digital and service transformations to better serve Canadians.

Ian E. Wilson 

A new website combines a selection of Ian Wilson's publications on archival issues together with the publications of the Stratford Institute for Digital Media, which he headed from 2009 to 2011. Wilson's various articles in Archivaria are available as well as an extensive illustrated bibliography of the publications of Sir Arthur Doughty, Dominion Archivist.

2024 ACA Conference Program Team Chair

We are already looking ahead to the 2024 ACA Conference! Our next conference will be entirely virtual to align with our Equity Commitments. With that in mind, the ACA is seeking expressions of interest from folks who are interested in Chairing the Program Team for the 2024 ACA Conference.

The Program Team Chair must be an ACA member in good standing, preferably with previous experience on the ACA Board of Directors, a Program Team, a Host Team, or other ACA-related project planning experience. The Chair must also be able to attend the conference they are planning. The deadline for expressions of interest is has been extended to May 5, 2023.

To give you some idea as to what such chairship duties entail, please review the Draft Terms of Reference for the Conference Host Team and the Conference Program Team. Any additional questions can be sent directly to Erica Hernandez-Read, ACA President, or Jo McCutcheon. Volunteer forms can be found here. It’s a great opportunity to meet new people, develop conference planning skills, and contribute to the development of the most exciting ACA event of the year!

ACA Student Chapter – McGill 

The ACA Student Chapter at McGill has taken a break from in-person activities since the start of COVID-19 but is pleased to announce a renewal of in-person tours and events. If you are interested in participating with the McGill student chapter on tours, panels, or other events, please feel free to reach out to acamcgillstudentchapter@archivists.ca or visit their website. 

McGill Chapter + Artexte - March 8, 2023 

The chapter had the opportunity of touring Artexte, a library, research centre, and exhibition space in downtown Montreal, which holds over 30,000 contemporary visual arts documents. Jessica Hébert, the librarian and collection expert, selected dozens of materials for members to explore Artexte's collection. Following the tour, we also got a chance to visit the current exhibition, Desire Lines - Displaced Narratives of Place.

McGill Chapter Career Panel – March 24, 2023 

To further the chapter's focus on career development this semester, students hosted a virtual career panel with three experts in the field: Joyce Gabiola (University of Houston), Zachary Tumlin (Duke University), and Veronica Denison (Rhode Island College). Panelists spoke about their career journeys, what changes they've noticed in the job field, the skills students should focus on developing, and what major challenges they faced when first entering the job market. The event gave students some rare and valuable insight into finding employment and working as an archivist.

New Canadian Women’s Movements Portal 

We are excited to feature a new initiative recently completed by ACA members! The University of Ottawa Library has launched the Canadian Women’s Movements Portal, a bilingual pan-Canadian inventory of archival materials available in heritage institutions across the country. 
 
Hosted by the Library, the Portal will help researchers locate archival collections that document the trajectory of feminist activism in Canada since 1960. 
 
This new tool aims to make it easier to access archival materials, to showcase documentary heritage, and to strengthen collaboration from coast to coast. 

The Library invites all Canadian archival centres (academic, institutional, and others) that hold significant collections related to women's history to participate in the Portal and to make their holdings accessible to as many people as possible. Call for Conference Session Chairs 

Are you attending ACA 2023? Would you like to assist the Program Team while also adding some volunteer experience to your resume? The Program Team is looking for Session Chairs for this year’s ACA Conference happening June 28 to July 1 in beautiful Charlottetown, PEI.

This year we are inviting everybody who will be attending the conference to put their names forward as session chairs. While we have several chairs already in place, we have 20 open spots. Each session has already been assigned a shepherd, who is a member of the Program Team. 

Here's all you need to qualify:

  • You are interested in facilitating questions and discussion, keeping speakers on time, and supporting the smooth running of the ACA conference

AND

  • You are definitely attending the conference!

The deadline to submit your name is May 1, 2023.

Gordon Dodds Prize

The Gordon Dodds Prize 2023 nomination period opens on May 1, 2023. Information about the prize and the submission form is available here.

Created in 2011, the Gordon Dodds Prize recognizes superior research and writing on an archival topic by a student enrolled in a Master’s level archival studies program. The prize honours Gordon Dodds (1941-2010), the first President of the ACA, and Archivaria’s longest-serving General Editor.

The paper must have been written by a student enrolled at a Canadian university in a recognized Master’s level archival studies program (defined as one that is located in a university department, school, or faculty in which archival education is a specific component of a Master’s level degree program, either as a stand-alone program or as a formal track or concentration within a broader program).

Nominations must be submitted by a faculty member or instructor associated with the archival studies program to verify that the student paper was written within the context of an archival studies program between May 1, 2022, and April 30, 2023. A faculty member/instructor may submit more than one entry per award cycle.

Archival Community News

The ArQuives – Call for Board Members 

Located in downtown Toronto, The ArQuives is one of the largest independent LGBTQ2+ archives in the world. They are seeking strong candidates to submit self-nominations for their board of directors. They are looking for individuals with the time, energy, and initiative to work on LGBTQ2+ cultural heritage and documentary stewardship for the entire LGBTQ2+ community. They have a working board, and all members are expected to commit to participating in and/or leading committee work. 

Board members attend a monthly board meeting, a monthly committee meeting, participate in occasional community and ArQuives events, and work on their focus areas outside of meetings. Board member obligations range from 8-10 hours per month over staggered two-year terms. Please direct all questions to board@arquives.ca.

Wendy Newman Library Leadership Award

Apply for the Wendy Newman Library Leadership Award, worth up to $5000! The award will help build leadership capacity in the library sector by enabling alumni of the Faculty of Information at the University of Toronto to pursue professional development opportunities at intensive library leadership development programs. The deadline to apply is April 30, 2023.

Archives Awareness Week 2023 

As part of Archives Awareness Week, held from April 3 to April 6, 2023, the Archives Association of Ontario (AAO) is bringing back featured Instagram vignettes from members. The theme this year is “Step into your community.” On Thursday, April 6, a series of short vignettes submitted by membership will be published via AAO's Instagram account. 

Ontario #ArchivesAtoZ

The Archives of Ontario’s #ArchivesAtoZ social media campaign will take place from Monday, April 3 to Friday, April 28 this year! Each day, a key term or important word in the archival world will be featured in the hopes of increasing the public’s general awareness about archives in a fun and engaging way. You’re invited to participate by sharing something related to that day’s word or coming up with your own! The ACA’s social media team will be engaging with all your posts, so make sure to use the hashtag to get a like, share, or re-tweet from us!

Congratulations! 

Congratulations to X̱wi7x̱wa librarians Kayla Lar-Son, Karleen Delaurier-Lyle, and Sarah Dupont, whose article "Weaving the Longhouse ‘Four Rs’ in LibGuides: Indigenous Teachings in Library Practice" has been published in Practicing Social Justice in Libraries! The article can be accessed online or at X̱wi7x̱wa Library at UBC.

AI Survey 

AI tools and techniques are having a ubiquitous influence on society and the workplace. How AI could be employed for records/content management is not yet understood. Please take 15 minutes of your time to respond to this survey to improve the understanding of how digital content is being managed today and how AI is or could be employed to relieve pain points. The survey is being conducted as part of the InterPARES Trust AI research project under the direction of Dr. Luciana Duranti, University of British Columbia. The survey is open through April 15, 2023.

Carnegie Library, Winnipeg Archives 

The Winnipeg Archives are set to return to their original home after the property committee approved funding to restore the Carnegie Library, heavily damaged by flooding in 2013. $12.6 million will be dedicated to creating a new centre for the archives. Click here to learn more.

A.H. Reginald Buller documentary 

The University of Manitoba Archives & Special Collections has produced a video, led by head archivist Heather Bidzinski and filmed under the direction of Mike Latschislaw, about a strange and wonderful mycologist named A.H. Reginald Buller, who was one of the first six professors hired by the University of Manitoba. The video is based on the exhibit He Was the Very Model of a Modern Research Scientist: Reginald Buller and the Founding of the University of Manitoba,which was opened in the fall of 2019. The documentary covers, among other topics, the archives and his records.

AFCAS Congress 

Is information governance of interest to your organization? The conference “Entre conformité et stratégie : évolution des pratiques de gouvernance de l’information dans les organisations” ("Between compliance and strategy: evolution of information governance practices in organizations") will be held on May 11-12, 2023 in Montreal as part of the Acfas (Association francophone pour le savoir) congress.

Anderson Ruffin Abbott 

The Anderson Ruffin Abbott archive has been added to the Canada Memory of the World Register. UNESCO’s Memory of the World Programme intends to showcase the most significant elements of the world’s documentary heritage. 

Anderson Ruffin Abbott (1837-1913) was the first Canadian-born Black physician. He was also a journalist, educator, and hospital administrator. The archive consists of books, legal documents, correspondence, manuscripts, newspaper clippings, notebooks, scrapbooks, photographs, and artifacts. It documents the achievements of an outspoken advocate for the Black community during a transformative time in North American history. Learn more about the announcement here.

ASA is excited to announce that registration is now open for our upcoming hybrid conference, Care for the People in the Archives, May 25-27, 2023. Considering world events over the last few years, we hope this conference will provide support to care for ourselves as archival workers. In Memoriam

Bryan Corbett

On behalf of the ACA Board of Directors and Secretariat, I would like to express our sadness at the sudden passing of Bryan Corbett.

Bryan was a founding member of the ACA and took great delight in sharing that his membership number was "007". He was a generous member of the ACA community who served as Secretary from 1978 to 1979 and as President from 2000 to 2003. In 2005, he was awarded the Distinguished Member Award for his contributions to the ACA over the years. He was also honoured as a Fellow of the ACA in 2011. In retirement, Bryan continued to support our Association through his work on committees, engaging attendees at the 2018 Annual Conference in Edmonton, and as a member committed to supporting the ACA Foundation.
 
As others have attested, Bryan loved to play golf and enjoyed the opportunity to catch up with friends and colleagues before and after conferences. His contributions to the archival community extended to the Archives Society of Alberta, ARMA – Edmonton Chapter, the Society of American Archivists Education Committee, as the ACA representative to the Canadian Commission of UNESCO, and later as a member of the International Council of Archives Executive.
 
He profoundly loved archives and the archival community and continued to share images of archives he took during his retirement travels abroad. If you have images or memories you wish to share about Bryan, please reach out to the ACA Secretariat.
