Hello, colleagues. I find it hard to believe that December is already here! So much has happened since I became President that these past few months have just flown by. I am so grateful for the wonderful group of volunteers on our Board, committees, working groups, teams, Special Interest Sections and Student Chapters for all of your hard work for the ACA. Your dedication and support make our association stronger.
My message this month will be brief. First, I want to remind everyone that the deadline for conference proposals for the upcoming ACA Conference is December 11! The ACA Program Team invites you to reflect on the theme: ACA at 50: Critical Reflections, Envisioning the Future. Let’s take an opportunity to look back over the past 50 years and celebrate what we have accomplished while also reflecting on the work ahead. The conference will be held in Ottawa on June 9-12, 2025. More details about the conference and how to submit your proposal may be found on the ACA website.
Next, I would like to remind everyone that it’s time to renew your membership! With your ACA membership you can enjoy discount pricing on ACA workshops, the annual conference, and even archival supplies through select vendors. You also get access to Archivaria, a premier journal highlighting research and the study of archives. And of course, you have the opportunity to network with colleagues across Canada and around the world. If you renew before December 31, you will be entered into the Early Bird Prize Draw. There are some great prizes up for grabs. Check out the ACA website for more details on how to renew.
Finally, I would like to give a shout-out to our library colleagues at the X̱wi7x̱wa Library at the University of British Columbia in Vancouver, who received the Library Institutional Excellence Award at the Association of Tribal Archives, Libraries and Museums (ATALM) conference in November. This award honours an Indigenous library that demonstrates outstanding service to its community. I was fortunate to be at the ATALM Conference in Palm Springs when the X̱wi7x̱wa Library received this award. Congratulations on this well-deserved honour!

This month, I would like to highlight the various committees for which the Vice President is the Board Liaison and give ACA members all the reasons why they should consider volunteering for them!
The Governance Committee (GC) is responsible for ensuring that the policies and procedures of the ACA reflect our association's values, support operational transparency, and are reviewed and revised routinely. The committee is currently halfway through a complete review of all ACA policies and procedures. This project has been an opportunity to reflect on the ACA's policy development process, and to connect with committees across the association to address governance concerns. Governance is always looking for volunteers who have a desire to help with this work. Volunteers can connect with peers and develop their skills in a collaborative environment. This type of experience is invaluable, makes a great addition to resumes, and is transferable to the workplace even if policy is not part of your regular duties.
If you enjoy celebrating those ACA members that go above and beyond, then the Nominations and Awards Committee (NAAC) may be the committee for you. Not only does NAAC organize the honours and awards ceremonies, but it also oversees the nomination process of the award recipients themselves. NAAC is also responsible for the oversight of the nomination and election of the Board of Directors positions. Its members work to ensure the election process is fully transparent in its searches for nominees as well as for their actual nomination and the election process itself. If this is of interest, then NAAC may be for you!
The Conference Planning Committee (CPC) has the primary objective to develop preliminary plans for the ACA's annual conferences (in-person, hybrid, and virtual) and to plan two to three years in advance of the actual conference dates. CPC is responsible for gathering membership input to determine the location of in-person conferences with the goal of representing the entirety of the ACA's Canadian membership base. They are also responsible for determining the best way to hold our virtual conferences. CPC also ensures our annual conferences include themes that are reflective of the interests of the ACA membership as well as respectful to the Indigenous communities on whose lands the conferences may take place. If you have ideas for the annual conferences, I encourage you to take part in this committee.
And although the Records Management Working Group (RMWG) does not currently need any volunteers, I would again like to take this time to acknowledge their work. The RMWG is working hard to build a tool for the process of auditing the ACA's current records management systems. This audit will cover not just the RM practices of the Secretariat but also for the Board of Directors and all the Chairs of the various committees and working groups. So be on the lookout for that sometime in the new year!
Thank you to all the current and past members of these committees, the ACA would not get its work done without you!
Finally, as we approach the holidays, I would like to take this time to wish everyone the best of this season. However you celebrate, may you be with those you love and who love you. See you in the New Year!

Scope and Content is trying something new! In our ongoing efforts to foster connections across the entire archival community in Canada, we’re always looking for new ways for you (yes, you!) to get involved. Earlier this year, we began including a new segment called “Archivists in the News” to highlight pieces in newspapers, magazines, and social media that feature the work of Canadian archivists. Now, we’d like to try including your personal and professional voices more directly – even if you haven’t been in the news!
If you have something exciting that you want to let us know about, that you or your organization may have worked on; if you want to share a tricky archival problem that you recently worked through, or maybe still need help with; or even if you want to ask questions of us, the ACA Communications Committee – this is your chance to be heard! We’re looking for short paragraphs or blurbs that are less than 500 words and more casual than something you might submit to In the Field. You can either email us at communications@archivists.ca if you want to have a conversation with us to organize your thoughts, or you can use this form if you would like to submit anonymously.

ACA Statement on X
The ACA Communications Committee would like to announce that, having received feedback from members of the Canadian archival community and having reached unanimous consensus amongst ourselves and the ACA Board of Directors, we will no longer be using the social media platform X, effective immediately.
The reason for our decision is twofold.
First, engagement with our posts on this platform sharply declined immediately after the platform was purchased by Elon Musk and underwent a name change from Twitter to X. Engagement declined further after the 2024 U.S. presidential election and we no longer feel that dedicating effort to creating posts for X is a worthwhile way to connect with the Canadian archival community.
Second, we take seriously the ethical concerns raised by members of the archival community regarding Musk’s close relationship with an administration that, among many significant issues, has demonstrated a low regard for responsible and ethical recordkeeping. This is only one of many issues with Musk, the administration he is now a part of, and the values inherent in his company that we do not feel align with the values of the ACA.
Our profile on X will remain live as a way to direct new followers to the other platforms where they can find us, including Facebook, Instagram, Linkedin and Threads. However, we will not be publishing any new posts on X. We thank the community for their previous engagement with us and look forward to connecting with all of you elsewhere.

ACA 50th Anniversary Logo
After a vote of ACA members, the winner of the ACA 50th Anniversary logo has been chosen. Congratulations to Olivia White who submitted this design. In creating this, Olivia wanted to render homage to the golden anniversary with a gold medal-inspired design, and to highlight the Association’s origins with a maple leaf symbol and the colours of red and white.
Olivia White is the Digital Preservation Archivist at the Simcoe County Archives. She is passionate about making a positive difference in the preservation and description of archival materials, and volunteers with the Association of Canadian Archivists and the Archives Association of Ontario.

ACA BIPOC Mentorship Program – Information Session
The ACA Mentorship Program team and the ACA BIPOC Special Interest Section (BIPOC S.I.S.) are pleased to launch a pilot BIPOC-to-BIPOC mentorship stream this year. Individuals who are Black, Indigenous, and People of Colour (BIPOC) are welcome to opt in to the pilot program as mentors or mentees.
The BIPOC S.I.S. team will be hosting an informal online information session on the pilot program on Saturday December 7 at 4:00p.m. ET / 1:00p.m. PT. This session is open to all interested BIPOC archivists and memory workers. The session will be hosted on Zoom.

CFP – 2027 In-person Conference
The ACA is seeking proposals for the location of its next in-person conference in 2027. The conference is held bi-annually, in June, for four days which includes 1 day of workshops and meetings, and three days of academic conference sessions. ACA Hashtag Party
You’re invited to the ACA Hashtag Party!
What is it?
On the last Thursday of every month, the ACA Social Media Team organizes a hashtag party, which takes place virtually on Facebook, Instagram, X, and Threads. There is a different theme for each month, which we announce on social media and ARCAN-L in advance. On the day of the party, you can share materials in your collections related to that theme, tag us and use the hashtag, and we’ll re-share your post. The goal of the parties is to engage more with institutions across Canada, see what kinds of materials other institutions have, and promote weird, fun, and interesting items from your own collections.
What’s the latest? Last month’s party took place on Thursday, November 28, and the theme was #ArchivesFounders! Thank you to everyone who joined – we enjoyed seeing some of the VIPs that have been instrumental in the establishment and histories of your organizations. If you missed it, you can still head to all our social media channels to see everything that we re-shared, or search for the hashtag.
What’s next? ACA Hashtag Parties will be taking a break in December for the holidays, but the first one of the new year will take place on January 30, 2025, and the theme will be #ArchivesPets. For this party, we’re looking forward to seeing all your favourite materials from your collections that depict or are related to cats, dogs, and any other furry and scaly friends. On the day, share your materials, and don’t forget to tag us and use the hashtag so we can re-share your posts.

Special Interest Sections
Welcome to Special Interest Section for Indigenous Archives. At S.I.S.I.A. we aim to hold space for conversations that are meaningful and generative for your professional and personal archival selves. The S.I.S.I.A. group meets bi-monthly on the last Friday of the month at 1 pm ET. The goal of the S.I.S.I.A. is to establish an informal meeting space for members interested to or currently working with Indigenous collections. Although we follow an agenda, the meetings are open dialogue for members to discuss any topic related to Indigenous perspectives, experience, and interests generally, but also regarding the archive. We are very open to discuss whatever is of interest to you in the present moment on these topics and hope that we can be of support to each other on our varying paths of learning and unlearning both within and external to the archive. ACA Communications Committee – Scope and Content editor
The ACA Communications Committee is seeking a new co-editor of this e-newsletter! Working alongside an established co-editor, you will work on a set schedule every month to arrange the layout, copy edit the content, and seek submissions for Scope and Content. Strong grammar, spelling, punctuation, and syntax skills are a must, as well as the ability to work collegially within a small group, communicate well, and adhere to deadlines. The time commitment for this opportunity is approximately five hours during the first week of each month (we can work around your availability and time zone), as well as a one-hour monthly meeting with the rest of the committee.The Communications Committee largely consists of early to mid-career archival professionals from across the country who are driven and motivated, and we look forward to submissions from like-minded individuals!

In November, In the Field published an Archives Spotlights interview with Luke Frolick. In this interview, Luke shares his experience working as a student employee at Northern BC Archives.
The In the Field blog continues to highlight some of the different environments where archivists work in the Archives Spotlights series. In November and December, the theme is digital archives. If you work with digital archives, we want to hear from you! Participating in Archives Spotlights is simple: just answer a few prompts! What type of records do you work with? What type of projects do you work on? What do you wish the public understood better about digital archives? The objective is to provide blog readers with a glimpse into a typical day in your life and to share the particularities of the archives you work with every day. To learn a bit more about the format, check out these recent Archives Spotlights interviews with Ariane Gauthier about government archives, and with Ashlynn Prasad about museum archives.

Archivaria 98 (Fall 2024) is now available online. It will also be available on Project Muse and Erudit within the coming days. The print issue is in production and will be mailed to members and subscribers when the postal strike has been resolved. In accordance with the one-year rolling access window, the entire content of Archivaria 96 (Fall 2023) is now available to all readers.

SAA Program Committee Seeks Proposals for ARCHIVES*RECORDS 2025
The Society of American Archivists (SAA) Program Committee is accepting proposals for sessions, posters, and more for next year's Annual Meeting. The theme, Making it Count, encourages proposals that demonstrate the impacts of archives work and expand the understanding of what "counts" in the profession. Proposals are due December 6. Call for papers: International Archives Congress 2025
We are thrilled to announce the launch of the official website for the International Archives Congress – ICA Barcelona 2025, which will take place from October 27-30, 2025 in Barcelona. The event, themed “Knowing Pasts, Creating Futures”, is expected to bring together archivists, records managers, and professionals from related fields from around the world to explore the future of our profession.
The official Congress website will serve as the central hub for all information related to the Congress, including details on registration, programme updates, and sponsorship opportunities.
One of the key features available on the website is the Call for Papers, which is now open for submissions. This is a unique opportunity for professionals to contribute to the global discussion on archives and records management by sharing their knowledge, experience and innovative ideas. The call is available in English, French, Catalan and Spanish.

Call for Applications: CAPAL Early Career Researcher & Student Research Paper Awards
The CAPAL Awards Committee is excited to announce two prestigious new awards from CAPAL: the Early Career Researcher Award and the Student Research Paper Award. These awards aim to recognize and encourage excellence in research within our community.
Early Career Researcher Award
This award, which includes a $500 prize and a one-year CAPAL membership, is designed to encourage excellence in research among early career professional academic librarians. It is open to individuals who have graduated from a Master of Library and Information Science program or equivalent within the last five years. Group submissions are welcome, with the prize money split among winners.
Application deadline: January 31, 2025
Student Research Paper Award This award recognizes research excellence in an unpublished paper written by students completing an MLIS or equivalent degree. The award includes a $500 prize and a one-year CAPAL membership. It is open to both individual and group submissions, with the prize money split among winners.
Application deadline: March 1, 2025

CFP – Concordia University’s Library Research Forum
Presentation proposals are now being accepted for Concordia University's 23rd Library Research Forum. This year's Research Forum will be a one-day event, with presentations taking place in person at Concordia University’s Loyola Campus on Friday, April 25, 2025.
This year’s plenary speaker will be Sophie Montreuil. Sophie holds a Masters from the Université de Montréal and a doctorate and post-doc from McGill University. She is the Executive Director of Acfas as of December 2019, having been first Director of Research then part of the higher administration at Bibliothèque et Archives nationales du Québec. She currently or has recently served on the boards of several organizations and she chaired the Board of the Cegep du Vieux-Montréal for a six-year term. She has co-edited several collections, including Faire connaissance : 100 ans de sciences en français, published in 2023 by the Éditions Cardinal for the 100th anniversary of Acfas. In 2023, she was named to the rank of Chevalier in the Ordre des Palmes académiques, and, in 2024, became a mentor for the Trudeau Foundation.

Canadian Conservation Institute Care and Handling of Photographic Materials January 29-30, 2025, Edmonton
The Archives Society of Alberta is hosting a 2-day in-person workshop on January 29-30, 2025 from 9:00 am to 4:30 pm.
This workshop discusses how to identify photographic processes as well as the structure, composition and format of a broad range of photographic materials. Agents of deterioration and mechanisms of deterioration are covered, as are proper storage and handling techniques for photograph collections. Ways to minimize potential damage and information loss in an emergency or disaster are also included.
Cost: $250 (ASA member); $350 (non-member)

- Xwi7x̱wa Library receives the Library Institutional Excellence Award at the Guardians of Culture and Lifeways International Awards Program
The Library Institutional Excellence Award honours an Indigenous library that profoundly demonstrates outstanding service to its community. X̱wi7x̱wa Library is the only Indigenous branch of an academic library in Canada, often looked to as a leader in Indigenous Academic Librarianship in British Columbia, Canada and internationally. X̱wi7x̱wa is known for its use of the Brian Deer Classification System and its unique approach to decolonizing subject headings. X̱wi7x̱wa strives to incorporate Indigenous community perspectives and voices into its unique collections, programs, and services. X̱wi7x̱wa Library is also known as a space for raising up Indigenous librarians and has been the starting place of many well-known Indigenous librarians who are making significant changes in the world of librarianship.
- Jacqueline Spencer has been appointed Archivist of Ontario by Order in Council, effective November 7, 2024.
Jacqueline has been acting as Archivist of Ontario in addition to her permanent role as Assistant Deputy Ministry of the Archives Division, Policy, Archives, and Data, Ministry of Public and Business Service Delivery and Procurement for the past while. With this appointment, Jacqueline now takes on a role that she rightfully deserves.
Jacqueline joined the Archives of Ontario in 2020 and has been integral in enhancing user access to the Archives and spearheading ongoing digital improvements to preserve its collections. Her inclusive and transformational leadership has been instrumental in building relationships with partners and creating and promoting a community-centric Archives that reflects the diversity and richness of the government and province's history.
An accomplished public servant with over 20 years of experience in the Ontario Public Service, Jacqueline’s commitment to community collaboration is exemplified by leading the establishment of the first Indigenous-led portfolio at the Archives. This initiative has streamlined access to records for Indigenous communities and survivor groups, making a tangible impact on our Truth and Reconciliation journey.
In addition to these accomplishments, Jacqueline also becomes the first Black woman to lead the Archives of Ontario, an historic moment for both the Archives of Ontario and the Canadian archival community.
Following the observance of Remembrance Day, Library and Archives Canada and the Canadian Commission for UNESCO (CCUNESCO) are pleased to announce the addition of the records of the No. 2 Construction Battalion to the Canada Memory of the World Register.
The MHSO moved its office/archives to York University in 2023. Since then, it has focused its efforts on creating a new interface for researchers that addresses current needs in and expectations for access and functionality. Specifically, using modern technologies to enhance ‘discovery’, the Society has designed and developed a comprehensive online catalogue and implemented a search mechanism that will allow researchers to browse its holdings, retrieve specific record descriptions, and sort and extract different types of resources in a variety of meaningful ways.
