February has always seemed to be a month on the precipice of change – we have come through the madness of December, have ushered in the new year, and can now perhaps take a moment to reflect on where we are and where we’ve yet to go. In this shortest of all the months, we have many days of import: Imbolc, Groundhog Day, Chinese New Year,Tết Nguyên Đán, Mardi Gras, Valentine’s Day, Basant Panchami, Lent, and Family Day, just to name a few, and of course it is Black History Month.
One of the things I remember from my elementary school days (the decade of which shall remain a mystery) was learning about how Canada, unlike the melting pot of our neighbours to the south, is a mosaic. I’ve always liked that analogy, that we are a country made up of millions of little pieces that at first glance may not look like they fit together, yet they do, and that each piece retains a sense of autonomy while at the same time working with all the others to make the bigger picture of something beautiful.
So much work has been done in Canada to ensure that the history of the individual mosaic pieces are captured. That is not to say that we don’t have holes to repair and restore in many areas, but sometimes we need to take a step back to take a look at how far we have come. There is wonderful work being done in many places. Here is a sample of just a few resources:
As archivists we know there is still a lot to be done to maintain the significant history of the important communities, new and old, that make up our country, but as we are still at the tail end of winter waiting for the thaw of spring, let us look both ways to acknowledge not just the work yet to happen but also the notable strides made.

The Board was notified by our auditor, Ouseley Hanley Clipsham Deep LLP, that they would be unable to undertake the ACA’s audit for 2023. A number of auditing firms were contacted, and the Board approved the nomination of Andrea Poole from the firm of Numeris CPA as the auditor for the 2023 year. Should you have any questions or concerns, please do not hesitate to contact me.
The ACA Board is pleased to say that we recently submitted a grant proposal to the Documentary Heritage Communities Program. If successful, the Board will use these funds to completely revamp our website and institute a brand refresh in commemoration of the ACA’s 50th anniversary in 2025. We will keep you apprised of the application status.

Hello, everyone. I have made the difficult decision to resign as co-Editor of Scope and Content. This issue will be my last. I'd like to thank Jo McCutcheon, Karen Suurtamm, Gillian Leitch, current co-Editor Olivia White, and Ashlynn Prasad for our collaborations at different times over the three years I've worked on S&C. I've really enjoyed being part of a team that produces a quality product for the ACA.

ACA 2024 Virtual Conference
|

Call for Student papers and the emerging voices session ACA Virtual Conference, June 10-13 2024
The ACA 2024 Conference Program Team invites students of library, archives, and information studies who have written a paper, conducted research, or participated in a project to share their experience and submit proposals. Take it to the next level and gain valuable public speaking skills while building your resume. We encourage you to submit proposals related to the key topics of the ACA 2024 Conference: Artificial Intelligence and Archives; the Climate Crisis; and social and political conflict. However, the CALL for Student Papers and the Emerging Voices Session welcomes all topics and first-time presenters!
All student submissions will be considered by the ACA Foundation Board Members for selection in the Emerging Voices Session. Three successful applicants will be invited to present virtually in the Emerging Voices Session and will receive a monetary award and complimentary conference registration. To receive this award, you must be an ACA Student member. Submissions that are not selected for the Emerging Voices Session will be considered for the general conference program.
Deadline for submissions is February 19, 2024, at 11:59 pm MST.

Introducing the ACA Vitual Conference Host Team!
The ACA 2024 Virtual Conference Host Team is ready to serve you! Although we got a bit of a late start (our inaugural meeting was on December 12), we have hit the ground running discussing our plans, hopes, and dreams for the first ever conference to be hosted by a province. We are excited to work with the Program Team and the Conference Planning Committee to add some fun activities to the program, as well as highlight some of the heritage and archival institutions in the host province.
So, without further ado, allow me to introduce your ACA 2024 Virtual Conference Host Team (in alphabetical order by first name):

Nominations open for the Board of Directors election and for ACA awards
The Nominations and Awards Committee (NAAC) is now accepting nominations for both the Board of Directors and for ACA awards.
Board of Directors
The NAAC is seeking nominations for the following ACA Board of Directors positions that are up for election in 2024:
The deadline for nominations is April 5, 2024, at 11:59 pm PDT. Nominations can be submitted through the Nomination Form.
See the ACA website for more information about the nomination and election process. Full descriptions of the Board positions and the commitment required for each elected position are also available on the ACA website. See also the ACA Nominations and Elections Policy.
Online voting will open June 12, 2024 and close on June 18, 2024 at 11:59 pm PDT. All members in good standing will receive an online ballot via email. The term of office for these positions is two years and will begin following the AGM on June 19, 2024.

ACA Mentorship Program
This year we had a record-breaking 42 mentees sign up for the Mentorship Program! This almost doubled the numbers we had last year. A huge thank-you to the mentors from across the country who are volunteering their time and experience to the mentees this year.
Emails regarding matches were sent out on February 1, so please check your email.

ACA Hashtag Party
You’re invited to the ACA Hashtag Party! On the last Thursday of every month, the ACA Social Media Team organizes a hashtag party, which takes place virtually on Facebook, Instagram, and X (formerly Twitter). There is a different theme for each month, which we announce on social media and ARCAN-L in advance. On the day of the party, you can share materials in your collections related to that theme, tag us and use the hashtag, and we’ll re-share your post. The goal of the parties is to engage more with institutions across Canada, see what kinds of materials other institutions have, and promote weird, fun, and interesting items from your own collections.
Last month’s party took place on Thursday, January 25, and the theme was #ArchivesScience! Thank you to everyone who shared materials from their collections that helped us foster an appreciation for historical science materials.
The next ACA Hashtag Party will take place on February 29, 2024, and the theme will be #ArchivesBlackHistory! We are excited to honour and celebrate the diversity, histories, and cultures of Black people in Canada and to acknowledge the many everyday contributions of Black communities from across the country. On the day, share your best materials related to Black history and don’t forget to tag us and use the hashtag so we can re-share your posts.

Nominations and Awards Committee (NAAC)
The ACA is looking for volunteers for the Nominations and Awards Committee to be a part of the process to recognize and celebrate ACA members.
The mandate of NAAC is to manage the ACA Honours and Awards program as well as to support the succession of qualified members to serve on the ACA Board of Directors and its committees by facilitating the transparent search, nomination, and election process.

ACA Governance Committee
The ACA Governance Committee is embarking upon a membership renewal phase and requires several new members in the upcoming months.
The role of the Governance Committee is to assist the Board of Directors in creating an operational framework for the ACA that provides transparency, is accountable to the membership, and achieves the strategic aims of the ACA.
While this assistance may take the form of advice to Board members on governance-related issues, the work of the Committee is primarily focused on the development and revision of policies, procedures, forms, and other documents that guide the work of the ACA’s Board and Committees. The Committee meets monthly for approximately an hour via Zoom to discuss governance issues and review the policies drafted by Committee members.

ACA Financial Review Committee (FRC)
The ACA’s Financial Review Committee (FRC) is looking for volunteers for a two-year term. The FRC is responsible for reviewing financial policy, budgets, and safeguarding the financial assets of the Association. These positions are open to all members. Early-career professionals looking for financial management experience may benefit greatly. If you have questions, please contact Kyle Pugh, Treasurer@archivists.ca.

Records Management Working Group
The ACA is seeking volunteers to help us look at the procedures, practices, and policies regarding the records management activities of the Association. We are looking for members in all stages of their careers who have a passion for records and archives to:

Review current ACA records management practices;

Review the ACA retention schedule;
-
Review and revise the ACA Records and Archives policy; and
-
Prepare records management processes in consultation with Executive Director.
Interested individuals must be able to commit to meeting at least monthly until all objectives have been met. More information about the responsibilities of the Records Management Working group can be found in the Records Management Working Group TOR.

ACA@UBC Conference
The student chapter of the Association of Canadian Archivists at the University of British Columbia (ACA@UBC) is holding its 15th annual conference on Friday, February 16, 2024, 9:00 am - 5:00 pm PST. The conference theme is “Archives and the Environment: Land, Colonialism, and the Climate Crisis.”

M.A.S.I.S. Meeting
While the M.A.S.I.S. group has been quiet, we have still been holding meetings and events, and we would like to take this opportunity to invite you to let the co-Chairs know what types of or topics for meetings would encourage you to participate in future M.A.S.I.S. virtual meetups.

In the Field: The ACA Blog

From municipal and federal government to universities, from religious congregations to community organizations, archivists work in a variety of settings. This year, the ACA blog, In the Field, is setting out to talk to archivists across Canada about the unique joys and challenges of their work environments. We will feature a different type of archives each month, with the objective of showcasing the rich spectrum of archival work.
The Archives Spotlights series begins this month with a spotlight on community archives. Keep an eye on the blog for our interviews with two community archivists in February, and stay tuned for our next monthly themes. In the Field is always open for submissions! From February 26-29, 2024, at the Nova Scotia Archives, Halifax, NS, this innovative 4-day intensive and hands-on training program, delivered by leading experts in archival monetary appraisal, will leverage your own extensive archival and heritage expertise, leading you through the policies and practices required to undertake both NAAB and independent archival monetary appraisal, through NAAB and independently. On the final day, upon successful completion of the summative assignment – a full archival monetary appraisal and a written monetary appraisal report – participants will become eligible to receive the Practising NAAB Appraiser credential. Oliver Wendell Holmes Award
The Oliver Wendell Holmes Award enables international archivists who are currently training or studying in the United States or Canada to augment their experience by travelling to the Annual Meeting of the Society of American Archivists. Recipients receive a certificate and a cash award of $1,000 to help cover costs of the 2024 SAA Annual Meeting for archives students who are not U.S. or Canadian citizens (or permanent residents) and are studying in the United States or Canada. Self-nominations are welcome.

Call for Contributions: Opening the Archives: Access, Engagement, Innovation
The call for contributions is now open for the upcoming joint Australian Society of Archivists (ASA), Archives & Records Association of New Zealand Te Huinga Mahara (ARANZ), and Pacific Regional Branch International Council on Archives (PARBICA) conference Opening the Archives: Access, Engagement, Innovation.
The conference will be held in Ōtautahi | Christchurch, Aotearoa | New Zealand at the Te Pae Christchurch Conference Centre from October 22-25, 2024.
Theme
The conference aims to bring together a wide range of views on what ‘opening’ the archives means; how this has been, or might be, achieved, and when it should not. It is also a space to explore the challenges and opportunities posed by new technologies, increased accessibility, and the acknowledgement of historical and cultural sensibilities.
Submissions
We encourage submissions from all who engage with archives: students, new professionals, experienced archivists and recordkeepers, information professionals, academics, researchers, artists, and community members.
